What are your responsibilities?
- Receive Material Requisition Forms (MRF) from project sites and review the requested items.
- Conduct pricing comparisons and check stock availability, including delivery times, to make informed purchasing decisions.
- Issue Purchase Orders (PO) and pass them to the Contract Team for the Approval Form and further submission for Management's signoff.
- Send approved POs to suppliers and request invoicing for submission to the Accounts Department for payment.
- Maintain a comprehensive record of all issued POs and payments released by the Accounts Department, providing necessary information to the Contract & Project teams.
- Monitor and track delivery status after PO issuance or payment release, ensuring timely and efficient delivery.
- Compile all Delivery Orders (DO), invoices, and POs to pass to the Accounts Department, maintaining both soft and hard copies of all relevant documentation.
- Prepare periodic reports summarizing partial deliveries.
- Handle and document asset transfers, including site transfers, checking, sorting, and reporting to the management team.
- Source machinery rentals, scaffolding, and equipment.
- Fulfil site requirements such as PMA and insurance, in addition to pricing and delivery logistics.
- Coordinate transport arrangements to and from the project sites, liaising with the project secretary if required for customrelated matters.
What do you need to succeed in this role?
- At least 2 years of experience as a Purchasing Executive in the construction industry.
- Strong understanding of procurement processes, pricing strategies, and inventory management.
- Excellent communication and negotiation skills for effective supplier relations.
- Ability to work in a fastpaced environment, managing multiple tasks and deadlines.
- Proficiency in computer usage & reporting.
- Strong attention to detail and organizational abilities for proper documentation and filing.
