About the role:

To take care of Malaysia' import and export activities.


Key responsibilities:


  • Key Responsibilities for import:
  • Review and analyze international orders for logístical needs (transportation, trade compliance)
  • Liaise with freight forwarders for enquire and maintain transportation instructions and charges on import orders.
  • Correspond with Material Planner team to obtain documents and information necessary for import documentation and import declaration.
  • Verify compliance and accuracy of documentation for import shipments (invoice, packing list, certificate of origin, manufacturing declaration, bill of lading, health cert)
  • Correspond with government agencies including import requirement such as permit, license
  • Customs, MAQIS, DVS, MOH.
  • Liaise with material planner team and freight forwarders to ensure open communication with regards to the pickup, transport, and delivery of international purchasing.
  • Correspond with Regulatory Affair for the import of new raw materials.
  • Correspond with freight forwarder for getting the standard billing invoice prior to cargoes receiving at warehouse.
  • Coordinate in between warehouse, freight forwarder for the movement of import container from delivery to return.
  • Verify additional freight billing, correspond with raw material planner for the PO raising.
  • Correspond with freight forwarder and compliance team for the record of import declaration data
  • Custom form management, Sales Tax and duty record / reporting
  • Attend outside training sessions to keep abreast of changes in import requirements.
  • Identify new procedures and methods to expedite import to the site and cost savings plans for the efficient and compliant operation of the Import team.
  • Assist Manager in preparing letters to vendors, freight forwarders and other parties involved in import transactions.
  • Assist with special projects as required (ex. reexport machines & raw materials, duty drawback, freight tenders, commercialization)
  • Train new employees in basic import procedures and required skills
  • Update the import schedule tracker.
  • Assist with open text dispute for import freight billing.
  • Work towards the direction of continuous excellence.
  • Key Responsibilities for export:
  • Review and analyze international orders for logístical needs (transportation, trade compliance, letter of credit)
  • Prepare appropriate documentation for export shipments (commercial invoice, packing list, certificate of origin, manufacturer declaration, shipper's letter of instruction, FTA forms)
  • Liaise with Customer Care and Freight forwarders to ensure open communication with regards to the requirement of shipping documents.
  • Verify compliance and accuracy of Bill of Lading, Airwaybill, export declaration and any other document required for international movement of product.
  • Correspond with RA, CC and Commercialization team for the compliance checks for exporting of new products.
  • Liaise with Account Receivable for the payment via bank submission
  • DP, DA and LC.
  • Identify new procedures and methods to expedite delivery to the customer and cost savings plans for the efficient and compliant operation of the export function.
  • Assist manager in preparing letters to vendors, freight forwarders and other parties involved in export transactions.
  • Coordinate samples and provide export documentation.
  • Correspond with forwarders if there is any service complaint.
  • Work towards the direction of continuous excellence.

Qualifications and skills:


  • Familiarity with INCO Terms and international logistics practices preferred.
  • Industrial experience preferred.
  • Diploma/degree in any field.
  • Excellent organization skills and attention to detail.
  • Strong communication skills.
  • Ability to multitask and handle high volume of work.
  • Strong mindset of continuous excellence.
  • Adapt to environment of change.
