As our stakeholders' first point of contact, you should make them identify immediately that we are the kind of company they would want to do business with.

Therefore, you must demonstrate high levels of customer service and integrity, especially in handling enquiries, issues and complaints.

Keeping a well-oiled workplace

Together with the facilities management team, you'll help ensure that clients, vendors and employees enjoy a safe and positive experience.

You'll be trained to follow escalation and incident reporting procedures, and comply with the firm's safety guidelines and strategies.


Your responsibilities also include, but are not limited to: booking meeting rooms; managing office supplies inventory; handling paperwork on maintenance-related activities; and updating the phone directory and company brochures. You'll also be expected to assist the facilities management team in overseeing contractors on-site and finding vendors and services.

Other Accountabilities

  • Coordinate for security clearance for visitors' entrance, including global / regional visitors, auditors, government officers, etc.
  • Serves visitors by greeting, welcoming, and directing them appropriately. Notifies company personnel of visitor arrival.
  • Answer, screen and forward incoming phone calls. Maintains security and telecommunications system. Informs visitors by answering or referring inquiries.
  • Manage, prepare and to submit all associates' port entry access cards, company QR code and door access pass.
  • Check, verify & process billings from vendors with relevant departments in charge. Receive, sort daily mail & coordinate with relevant personincharge.
  • Courier services management, including record & requisition followup.
  • General admin support including meeting rooms management and housekeeping.
  • Maintains a safe and clean reception area by complying with procedures, rules, and regulations.
  • Good team player, efficient and capable to work independently
  • Details oriented
  • Good communication skills
  • Support for any site activities & celebration arrangements.
Qualification & Experience Required

  • Diploma in equivalent or any related field
  • At least 3 5 years of experience
  • Able to generate management report
  • Client orientated
  • Good in time management
  • Able to multitasking
  • Fluent in English Speaking and writing
