Personal Assistant to Director

We are looking for Experienced Personal Assistant with a growth mindset, interested in wearing many hats, and willingness to roll up their sleeves to launch and assist our business leader to grow our market in Malaysia and Southeast Asia.

In this fast-paced role, you will work directly with the senior management team to establish at-scale operations within weeks.

You will also serve as a liaison to the Board of directors and senior management team; organizes and coordinates executive outreach and external relations efforts; oversees special projects, own and manage business leader planning for the organization.


Responsibilities include:


  • Maintaining comprehensive and accurate records
  • Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the operations of the company.
  • Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary
  • Answering phone calls in a polite and professional manner
  • Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department
  • Managing the executive's calendar, including making appointments and prioritizing the most sensitive matters
  • Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the organization
  • Arrange travel and accommodations for executives. Prepare expense reports
  • Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring nonroutine calls to the appropriate staff
  • Excellent communication and time management skills; proven ability to meet deadlines.
  • Ability to function well in a highpaced environment; performs additional duties as assigned by executives
  • Draft and prepare correspondence for internal announcements, board meetings, and organizations that the executive is involved with
  • Assist in preparing and managing presentations and decks
  • Welcome the Executive's guests by greeting them, in person or on the phone; answering or directing inquiries
  • Use discretion, confidentiality, and good judgment to handle C-Level matters
  • Represent the company and the Executive in a positive light through great Conserve the Executive's time by reading, researching, collecting and analyzing information as needed, in advance. followthrough skills and sound judgment
  • Complete adhoc projects as assigned such as new projects, personal events and/or family needs
  • Organize complex calendars and schedules; resolving any scheduling issues

Requirements:


  • Bachelor's degree required
  • 5+ years of related experience required in working in an executive assistant role supporting C-Level executives.
  • Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
  • Ability to communicate effectively and professionally.
  • Flexible hours as dictated by the needs of business for projects and meetings.
  • Strong business sense and industry expertise.
  • Business goal and result orientated
