POSITION GENERAL SUMMARY
Responsible for ensuring the smooth operation of Quality/Record Management for the Human Capital Division.


ESSENTIAL POSITION FUNCTIONS

  • Ensure administration of Records Management Lifecycle Operation.
  • Lead and coordinate audit (ISO 9001 QMS, 27001 ISMS, 37001 ABMS & 45001 OHSMS) and ensure achievement of compliance and certification for Human Capital Division.
  • Supervise and ensure smooth Admin Operations (Mail Room, Printing Room & Despatch).
  • Establish contract to regulate Offsite Storage Arrangement & Strategy.
  • Coordinate and monitor Divisional policies, procedures, guidelines, SOP and Risk Scorecards updates and completion.
  • Oversee HCD Business Continuity Management and Code of Ethics & Conduct.
  • Admin for MAHB Gift Declaration & Human Capital Representative (Internal Audit, Cybersecurity, ISO Assessment Team, Google Workspace, Information Security).
  • To operate and manage attendance System Management.
  • Establish Policy/Guidelines for Records Management.
  • MAHB Overseas Travelling Approval Records Keeping.
  • Manage eDeclaration consist of Nomination, Asset and Company/Business Declaration.
  • Handling Stationery for HC Services and MAHB Overseas Travelling Approval Records.
  • Admin for MAHB Gift Declaration.

Key Challenges:


  • To ensure the documents in HC follow the process flow of Record Management (Keeping, Retention, Disposal and etc)
  • To ensure no interruption in the operation of Information Counter, Printing Room, HC Counter, mailing and Record Management
  • To fulfill compliance and certification audits (ISO 9001 QMS, 27001 ISMS, 37001 ABMS & 45001 OHSMS) for the Human Capital Division.

Relevant Industries:


External

  • Degree holder with minimum CGPA 3.0 and minimum 1 year relevant experience.

Education:

  • Degree preferably with specialization in Human Resource/Human Development/Business Administration or Records Management
