What are your job responsibilities?
- Oversee and manage the Project Admin team to ensure seamless project documentation & operations;
- Coordinate with Project Team and other stakeholders to facilitate project planning, execution, and delivery;
- Prepare reports on project process and documentation formatting, and monthly report on project department movement for monthly management meeting;
- To ensure the project documentation/procedures comply with requirements;
- To monitor and ensure that the documents required are complete and in place. E.g Dilapidation Report, Site Daily Report, Daily Site Progress Photos, Handover Inspections & etc;
- To ensure update of master list for Certificate of Practical Completion (CPC) & End Defects liability period (DLP);
- Oversee the process of project certification, ensuring that all project milestones and deliverables are met according to established standards and guidelines;
- Coordinate with project stakeholders to assess the need for Extensions of Time (EOT) and document the justifications for any required time extensions;
- Review and enhance project Standard Operating Procedures (SOP) to optimize project execution and streamline processes, and ensure compliance by the project team;
- Provide training/briefing/advise to the Project/Technical Teams regarding company's Project department SOP;
- Maintains updated records of all approved documents (from project initiation until close out) in the Document Archive/Server with easy traceability;
- Monitor Project department folders in server and ensure project team access server with the standard protocol;
- Keep track on Project staff movement and mobilization;
- Site visits when necessary for better understanding on project progression in order to provide better support and documentation;
- Track and monitor Project Admin tasks;
- Manpower planning for down liners;
- Provide any ad hoc support to the Project Team.
What do you need to succeed in this role?
- At least 5 years of experience in project administration or project management within the construction/interior design industry, preferably at least 2 years of experience as Project Admin Manager.
- Strong knowledge of construction project lifecycles.
- Proficiency in computer usage and project management software.
- Exceptional organizational and time management skills to handle multiple projects simultaneously.
- Excellent communication and interpersonal skills to effectively collaborate with team members, clients, and stakeholders.
- Leadership abilities to guide and motivate the project administration team.
- Attention to detail and a high level of accuracy in managing project documentation.
