Job Summary
The Administrative Assistant reports to Program Leaders/Coordinators and is responsible for the execution of all administrative work related to teaching, learning and resource provision.
Responsibilities:
The key job responsibilities include but are not limited to the following:
A. General Administration
- Prepare each semester's calendar of activities and timelines
- Prepare faculty class assignment each semester
- Prepare and file semester course files (physical/online) for review, records and accessibility
- Orientate new faculty members on administrative and academic work functions
- Take, distribute and file minutes of all meetings (faculty, department, course committee, etc.)
- Administer all class cancellation and replacement processes
- Administer the ICOM Tutorial Office (ITO)
- Administer faculty evaluation processes and submit reports
- Prepare documentation for quality assurance audits and Management Review Board (MRB)
- Provide clerical/administrative support to other departments as assigned by supervisor
B. Assistance in Resource Provisions
- Administer the accessibility of approved study lists (purchase or subscription)
- Catalogue library holdings in CODA and at library according to respective classification
- Conduct inventory of library holdings each semester to output annual library report
- Conduct orientation on library services
- Supervise the library use when in operations
- Administer the loan and return of equipment
Requirement
- Minimum Bachelor's Degree in Library Science / Management
- Proficient in written and spoken English Language & Bahasa Malaysia
Job Types:
Full-time, Permanent
Pay:
RM1, RM2,500.00 per month
