Description
Responsibilities:
Database Management
- Manage the database system, ensure data is accurate and updated.
- Carry out continuous enhancement and utilization of the system to ensure the required and relevant data can be retrieved and reports can be generated/prepared using the system.
- Plan and design programmes/activities to capture latest data.
- Prepare relevant reports and trend analysis based on captured data.
Program Development
- Assist in developing programs that are engaging with alumni, working closely with the Alumni Committee to develop and meet the alumni program goals.
- Develop mechanisms to assess the effectiveness of alumni efforts and identify new initiatives to support the programs going forward.
- Contribute to budget preparation.
Communication
- Execute alumnifocused activities (e.g., networking events, forming alumni networks) that will support the business development goals and objectives specified in the alumni strategic plan.
- Participate in the planning and execution of events, which include regional or officespecific alumnionly events.
- Manage the alumni website/portal and assist in other student services portals/websites/online & social media sites, as required.
- Liaise with Alumni in preparing stories and videos.
- Use WordPress to manage the Alumni webpage.
Additional Requirement
- Support in organizing activities for current students, as needed.
- Represent the University and give presentations when necessary.
- Prepare relevant reports.
- Compile D'Setara requirements.
- Review SOP/workflows/processes regularly.
- Support events organized by the University.
- Convert data, documents, and processes from analog to digital.
- Purchase merchandise and other items.
- Any other duties/responsibilities as assigned by the supervisor or Head of Department.
Job Requirements
- A University Degree in any field, possess skills to manage the listed tasks.
- Experience in alumni relations at tertiary education institution will be an added advantage.
- Competent with MS Word, Excel, PowerPoint and database management.
- Experience in managing database systems will be an advantage.
- Experience with all aspects of planning and implementation of events in alumni relations and communications will be added advantage.
- Good written and oral communication skills and presentation skills.
- Good analytical skills.
- Strong organizational skills and attention to detail.
- Strong teamwork skills and ability to engage productively with colleagues to achieve shared goals.
- Experience in developing social media plans and contents.
