    Job Title

    Administrative and Human Resources Manager

    Summary

    We are seeking an experienced Administrative and Human Resources Manager to oversee the daily HR and administrative operations of our office. The ideal candidate will have a strong background in human resources management, excellent communication skills, and the ability to work independently.

    Responsibilities

    • Maintain Smooth Office Operations

    The Administrative and Human Resources Manager will be responsible for ensuring the smooth running of office administration matters, including:

    • Facilities Management: Oversee the maintenance and upkeep of the office facilities, including repairs and maintenance of equipment.
    • Pantry and Office Supplies: Monitor and manage pantry and office supplies, making purchases as necessary.
    • Travel Arrangements: Handle travel arrangements for outstation and visiting colleagues, including booking flights and accommodation.
    • Courier Services: Work with couriers to deliver documents or parcels, ensuring timely and efficient delivery.
    • Equipment Maintenance: Liaise with technicians/vendors to repair/maintain office equipment, ensuring minimal downtime.
    • HR Document Management

    The Administrative and Human Resources Manager will be responsible for maintaining proper filing of HR documents in a confidential manner, ensuring that all documents are up-to-date and securely stored.

    • Payroll Processing

    The role will also involve ensuring the accurate and timely processing of internal and external payroll on a monthly basis, including the filing of payroll tax returns, reconciling payroll records, and resolving any discrepancies.

    • Labuan Labour Law Compliance

    The Administrative and Human Resources Manager will be the go-to person for all Labuan Labour Law matters, ensuring compliance with statutory regulations and related issues/compliance.

    • Recruitment and Hiring

    Additionally, the role will involve being responsible for the recruitment and hiring process, including:

    • Updating Job Descriptions: Ensure that job descriptions are updated before advertising recruitment ads.
    • Candidate Coordination: Coordinate with candidates and schedule interviews, ensuring a smooth and efficient process.
    • Onboarding: Support onboarding for new hires, ensuring a seamless transition into the company.
    • Leave Management

    The role will also involve overseeing the Leave Management system, monitoring and tracking leave applications, and ensuring that all employee leave is accurately recorded and managed.

  • Employee Benefits and Events

The Administrative and Human Resources Manager will assist in administering employee benefits and events, ensuring that all employees are aware of their benefits and entitlements.

  • HR Databases and Reports

The role will involve ensuring that employee information and HR databases in the system are maintained and updated from time to time, providing accurate and timely reports to management.

  • HR Letters and Forms

The Administrative and Human Resources Manager will prepare HR & Admin letters, forms, and training materials, as required.

  • Employee Queries and Support

Finally, the role will involve attending to all employees' queries pertaining to HR policies & procedures, providing support and guidance as needed.

Requirements

  • Degree in Human Resources Management or Related Field

The ideal candidate will possess at least a Diploma / Degree in Human Resources Management or a related field, with a minimum of 5 years of working experience in the Human Resources field.

  • HRMS Payroll and Attendance System Experience

Experience in using HRMS Payroll and attendance system is essential, as well as knowledge in HR-related laws, regulations, and policies.

  • Excellent Communication Skills

Good interpersonal and communication skills, in verbal and written for English, Bahasa Malaysia & Mandarin, are required.

  • Documentation and Time Management Skills

Strong documentation and time management skills are essential, as well as the ability to maintain confidentiality and handle sensitive information.

  • Ability to Work Independently

The Administrative and Human Resources Manager will be able to work independently and proactively, with a strong sense of responsibility and attention to detail.
