    Position: Global Mobility Service Delivery Specialist

    Target Industry: Oil & Gas

    Working Day/Hours: Monday – Friday / 11AM – 8PM

    Contract duration: 12 months contract with PERSOLKELLY (Contract extension based on business needs)

    Working Location: Menara Tan & Tan, WP, 207, Jln Tun Razak, 50400 Kuala Lumpur

    Salary: Basic up to RM7,000 (Based on qualifications + experiences) with statutory contribution + leave entitlement + medical coverage

    Role Summary:

    The Global Mobility Service Delivery Specialist will be responsible in all administrative aspects of pre-boarding assignees and/or rotators to their international assignments; support and work with Hiring Managers and HR Business Partners for the most efficient hire process for the candidate/employee and cost effective to the business.

    As part of the Global Mobility team, continuously improves assignee and rotator experience from pre-hire/transfer, on assignment and end of assignment life cycle. This role directly reports to the Global Mobility Service Delivery Manager.

    Essential Responsibilities:

  • Administering day-to-day Preboarding transactions including background screening, Pre-Hire Medical Check-up, Immigration, and relocation support.
  • Running cost estimates and total rewards statements using Assignment Pro for new assignee/rotator transfers/hires.
  • Ensuring all new hire compliance requirements, onboarding paperwork is complete and properly document evidence of compliance requirements met for future audits.
  • Acting as a resource in responding to queries from new employee, hiring managers, and other stakeholders throughout the Preboarding process.
  • Coordinating, communicate and follow-up with internal stakeholders and vendors to ensure smooth processes throughout Preboarding of the employee.
  • Conducting assignment briefings with assignees/rotators
  • Coordinate, communicate and follow-up with internal stakeholders –Talent Acquisition, HR Business Partners, Records Management, and Payroll departments to ensure smooth processes throughout preboarding of the assignee/rotator.
  • Day-to-day management of end-to-end Global Mobility process and case management of mobility transfers to the region/s assigned to you.
  • Tracking and registering status of cases, reporting issues/impediments and actions/solutions on a regular basis.
  • Creating, update, maintain appropriate documentation, standard operating procedures, "benefits at a glance" and work instructions.
  • Working with management to Identify potential problems, gather data, and analyze opportunities for process improvements

    Job Responsibilities:

  • Running cost estimates and total rewards statements using Assignment Pro for promotions, compensation/location changes or family size updates.
  • Ensure real time data entry into the company's systems (Workday, SAP, Assignment Pro) to enable transparency for team members, HR, business and other stakeholders and support Data Integrity initiatives in Workday, SAP, APro and other HR systems as applicable.
  • Provide operational support for delivery of Global Mobility programs and processes across multiple countries within the region/s.
  • Be the primary Point of Contact for employee, HR, business, legal, internal, and external stakeholders and vendors on all things Global Mobility (tax, immigration, relocation, payroll, etc.) for the region/s under your remit.
  • Support end or assignment administrative tasks, such as off-boarding or terminations.
  • Be accountable for an exceptional employee/stakeholder experience.
  • Present process gaps or growth areas and actively address them or proactively find solutions to improve existing processes.
  • Work with management to gather data and analyze to identify opportunities for process improvements.
  • Contribute to Global Mobility operations team calls, bringing forward complex cases as applicable for discussion/input, learning from others and proactively raising areas for improvement.
  • Participate in Global Mobility related projects, including technology/systems enhancement or support, communication, reviews, and change management.

    Qualifications/Requirements:

  • Bachelor's Degree from an accredited university or college (or a high school diploma / GED) with at least 5 years of experience in HR/Global Mobility
  • Experience working with Assignment Pro, Workday, other with systems (SAP) as well as excel/power point.
  • Good time management with an ability to work on several tasks and projects concurrently setting own agendas and effectively prioritizing work.
  • Customer focused with the ability to provide remote GM support for different regions.
