    As a Process Documentation Specialist, you will play a crucial role in ensuring that all process-related documentation, including work instructions, templates, and checklists, are accurately and comprehensively documented and aligned with defined processes. Your attention to detail and organizational skills will be essential in maintaining a centralized repository of process documentation and facilitating smooth access for relevant stakeholders. You will collaborate with process owners, subject matter experts, and cross-functional teams to develop, update, and allocate process documentation, supporting the organization's adherence to standardized procedures and best practices.

    As a Process Documentation Specialist, you will be the guardian of our organization's process documentation, ensuring that it is comprehensive, up-to-date, and accessible to the relevant stakeholders. Your contributions will play a pivotal role in supporting process adherence, efficiency, and continuous improvement across the organization

    Principal Accountabilities:

    Process Documentation Management:

  • Collaborate with process owners and stakeholders to gather and review existing process documentation.
  • Create and maintain a centralized repository for process-related documents, ensuring easy access and version control.
  • Monitor and track changes to process documentation and maintain an audit trail.
  • Work Instruction Development:

  • Develop clear and concise work instructions that outline step-by-step procedures for various processes.
  • Collaborate with process owners and subject matter experts to ensure accuracy and completeness of work instructions.
  • Review and update work instructions regularly to reflect process changes and improvements.
  • Template and Checklist Creation:

  • Create standardized templates and checklists to support consistent execution of processes.
  • Work with process owners and teams to ensure that templates and checklists meet the specific needs of each process.
  • Regularly review and update templates and checklists to align with process changes and evolving requirements.
  • Allocation and Integration:
  • Allocate appropriate documentation, such as work instructions, templates, and checklists, to their corresponding processes.
  • Ensure that all process documentation is integrated seamlessly into the organization's knowledge management systems or platforms.
  • Facilitate training sessions or workshops to educate stakeholders on how to access and utilize process documentation effectively.
  • Additional Requirements & Remarks:

    Process Compliance and Governance:

  • Ensure that process documentation adheres to industry standards, compliance regulations, and internal policies.
  • Collaborate with compliance and quality assurance teams to validate the alignment of documentation with established processes.
  • Identify and address any gaps in process documentation to promote consistency and compliance.
  • Continuous Improvement:

  • Proactively seek feedback from stakeholders and users to identify opportunities for enhancing process documentation.
  • Participate in process improvement initiatives to streamline documentation processes and improve accessibility.
  • Stay up-to-date with industry best practices and trends in process documentation management.
  • Key Performance Indicator (KPIs)

  • Comprehensive process documentation in place within timeline and meeting the expected quality
  • Minimum Qualification:

  • Bachelor's degree in Business Administration, Management, Information Science, or a related field.
  • Proven experience (typically 2+ years) in process documentation management or related roles..
  • Fluent English
  • Working experience as a document control specialist
  • Excellent organizational and time management skills to handle multiple documentation tasks effectively.
  • Strong attention to detail and the ability to ensure accuracy and consistency in documentation.
  • Familiarity with knowledge management systems and document repositories.
  • Proficiency in using document editing software (e.g., Microsoft Office Suite).
  • Excellent communication skills, both written and verbal, to interact with stakeholders and document complex processes effectively.
  • Ability to collaborate with cross-functional teams and manage documentation needs for multiple processes.
  • Preferred Qualification:

  • Experience facilitating and moderating process mapping & improvement workshop
  • Familiarity with any ERP system preferably Microsoft Dynamics 365
  • ERP integration for new ERP system roll out
