- Analyze costs, negotiate contract details, and provide strategies and solutions to help companies better manage costs on supplies and vendor services. (Assist in Building Department, M&E Department, Security Department and others).
- Ensure all lease contracts are in place and renewed/terminated as at when required.
- Organize and schedule meetings and appointments.
- Produce and distribute correspondence memos, letters, faxes and forms.
- Assist in the preparation of regularly scheduled reports.
- Maintain supplies inventory by checking stock to determine inventory level anticipating needed supplies placing and expediting orders for supplies verifying receipt of supplies.
- To cover reception area during receptionist's absence or only when required.
- Oversee and supervise the work of junior staff.
- Handle documentation of sales and sub sales for Berjaya Megamall (Strata Titles).
- Organize and coordinate Annual General Meeting.
- Monitor and liaise with insurance Company pertaining to the company claims.
- Liaise with Group HR in HR matter such as recruitment, resignation, staff insurance, overtime claim, leave application and responsible for general administrative SOP.
- Prepare memo for approval and tendering process.
- Degree in Business/Management or equivalent.
- Minimum 3 years' experience as an Administrative Executive, Senior Officer.
- Knowledge in office management systems and procedures.
- Proficiency in English/ Bahasa Malaysia/Mandarin.
- Exemplary in planning and time management skills.
- IT savvy and familiar with computer software including MS Office.
- Multitasking and able to prioritize daily workloads.
- Good communications skills in both verbal & written.
- Discreet person and can handle private and confidential matters.
