    Job Description

    Preparation Before Events :
    • Achieve assigned sales targets;
    • Plan work scheduling for event / special projects set-up;
    • Attend tender briefings and tender preparation, submission and presentation;
    • Gather costing by requesting quotes from suppliers on product materials, based on the client's specifications;
    • Brief and liaise with suppliers on projects' requirements;
    • Collaborate with vendors and suppliers to secure materials and services for events;
    • Prepare BOQ (breakdown of quantity) and PR (purchase requisition);
    • List down materials/ fittings/fixtures are required;
    • Submit material samples for clients to review;
    • Manage clients' expectations and provide information and support whenever necessary;
    • Time management and push execution of scheduling;
    • Conduct quality checks on the quality of build/fabrication by suppliers to ensure it is following specifications;
    • Identifying potential risks to operations and developing strategies to mitigate them;
    • Conduct site audits and measurements.
    • Ensuring that operational activities comply with relevant laws, regulations, and industry standards.

    Onsite

    • Developing and implementing strategic plans for the efficient execution of event operations;
    • Prepare onsite daily reports and progress reports for respective sales personnel & clients;
    • Client servicing on clients' feedback, requests for additional items and placement of fixtures;
    • Manage and close projects within a stipulated timeline;
    • Oversee on-site operations during events, ensuring seamless execution and addressing any issues that may arise;
    • Communicating with customers, both internal and external, to ensure alignment with operational goals.
    • Manage and optimize event budgets, identifying cost-saving opportunities without compromising quality; and
    • Provide regular updates to the Director on operational performance.

    Post-Event

    • Implementing strategies to improve customer satisfaction and experience;
    • Implementing risk management processes to safeguard the organization's interests;
    • Implementing quality control measures to maintain high standards in services.

    Job Requirements
    • Minimum Degree/Diploma, preferably in Events/Hospitality/Construction Management.
    • Prior experience in event / exhibition / tradeshow project management or any related industry.
    • Technical knowledge in conceptual design drawing and floor plans.
    • Frequent travel is required; owning a vehicle is recommended.
    • Proficient in Microsoft Word/Excel/Project.
    • Good communication skills. Pragmatic, meticulous, and multitasker.
    • Required language(s): English, BM, Mandarin will be an added advantage.
    • Knowledge of furniture, materials, and finishes will be an added advantage.
