- Centrally manages all the facilities and administration services needs for Malaysia & Singapore
- Manage cleaning services, Landscaping and compound cleaning , Surau and cafeteria operation to ensure Good Manufacturing Practice Monthly average score.
- Ensuring that the turnaround time on all reported cases are dealth with within 48 hours and resolved Within 5 working days.
- Total of cases reported vs self self discovery – Guiding and ensuring that the Facilility Executive responsible for facilities matters are responsive and able to handle issues arising.
- Ensuring that costing i.e actual vs budget is well managed and monitored thoroughly.
- Audit & Compliance: Working closely with the Facility Exec/Admin Exec in ensuring that any gaps on compliance issues are closed.
- Cascade basic standards of employee facilities such as workstations, canteens, meeting rooms, etc.
- Facilitate the establishment of various office facilities repairs and builds and assist in monitoring the cost/expenses related to these items.
- Control all facilities contracts with suppliers.
- Ensure that all projects are implemented within the authorized budget.
- Building good relationship with government officials and ensuring compliance by the company
- Manage on Expatriate Management. To work on visa, work permit pass application as per the requirement of Immigration Malaysia & Embassy authority. This is included PVP, EP & DP applications.
- To work with our counterpart with the supporting agency and supporting the mobility team on the tenancy agreement.
- Contract Workers Management.
- Company Licenses. Be the person incharge to renew the company licenses
- Covid Management (Tabulate monthly & weekly report for covid cases & vaccination percentage, incharge of costing incurred for the swab test arrangement)
- Uniforms Management
- Employee Engagements/Group Meetings/Annual Dinner/Family Day
- Part of the committee members for the employee engagement &supporting internal stakeholder on organizing events.
- Keep track on the administrative costing & provide analysis
- Front Desk, Dispatch & Courier Service Management
- Provide further guidance on dispatch & courier service management. Ensuring the dispatch & courier services runs smoothly.
- Ambassador/ Festive/ Office Consumptions/ Clearance Drinks
- Manage ambassador drinks/festive/office consumptions/ festive drinks allocation as per budget approved.
- People Management - Ensuring that every team member is clear of their day to day functions and guiding them to achieve their KPIs
- People Development – Providing clear career development path and guiding each team member to reach the pre- agreed path
- Experienced in Facililities & Vendor Management and HR Administration in a corporate environment.
- Must be proficient in MS Office (especially MS excel)
- Ability to effectively prioritize & organize work and meticulous
- Good communication skills
- Minimum 5 years in facilities and administration role.
- University/bachelor's degree in administration or equivalent.
- Work Location : Bandar Enstek (Negeri Sembilan)
