    About this role

    We have a fantastic opportunity for a motivated Personal Assistant to join our vibrant and enthusiastic group based in Kuala Lumpur. You will be proactively providing confidential administrative support to the Malaysia Geography Leader and any other roles the Leader hold. This includes the planning, organisation and coordination of tasks and functions performed by the Leader. It also includes an element of support to the management team of Arup together with attending to other staff needs. This role provides an initial point of contact, information and coordination of communication for both internal and external clients and staff.

    What will I do?

  • To deliver effective personal administrative assistance to the Malaysia Geography Leader. You will be expected to work under minimal supervision in this responsibility and may be involved in developing events, activities and internal projects of some complexity.
  • To be the first point of contact for all persons seeking the Malaysia Geography Leader to use own discretion in redirecting queries to appropriate other responsible staff if it is not for the immediate attention of the Leader. You may represent the Leader or your team at internal and external meetings.
  • To ensure that the various functions associated with your role are undertaken within required timeframes and standards. You are responsible for checking the quality and accuracy of your own and others' work. Furthermore, you may be responsible for the development of others through providing guidance, training and feedback.
  • Delivery of confidential and high quality secretarial and support services to the Leader and other staff (as required) including but not limited to producing documents, presentations, researching and gathering information and authoring non-standard letters, reports and other documentation.
  • Liaison with key personnel/ others within the region to ensure timely delivery of information required by the Malaysia Geography Leader to meet internal and external (client) deadlines and priorities.
  • What will I bring?

  • Recognised relevant tertiary qualifications in Business Administration or Secretarial or similar area;
  • Relevant industry experience in high level Personal Assistant support within a consulting business environment
  • Sets and coordinates achievable targets for self and others in a structured and ordered way;
  • Ability to maintain personal effectiveness particularly during periods of higher than normal workload;
  • Ability to communicate with people at all levels in both technical and non-technical environments;
