    Description

    1. Accounts duties:

    a) Support in account duties assigned by the CEO

    b) Manage and prepare monthly Payroll including Claims and Digital Payslips

    c) Manage and help to assist with monthly payments (fixed/variables), cashflow, petty

    cash and key-into the company's banking system

    d) Maintain the flow of all account supporting documents to scan and keep in the

    assigned Google Drive and manage the physical account files for audit & tax

    purposes

    e) Prepare all accounts related documents (invoices, quotations, payables and

    receivables) and filling system

    f) Collaborate & support Company Accountant with all accounts & finance related

    matters

    2. Admin Operations duties:

    Main task is to oversee IdeaScape office day-to-day operations and procedures

    a) Maintaining good filling systems - Company profile, consultant profiles, product

    brochures, Logo, official documents, Standard Operating Procedures, HR matters

    (HR structure and policies, Employee Handbook and Guidelines, Administrative forms,

    i.e., annual/sick leave, employee record, etc.)

    b) Owns the contract and contract renewals for new work for all Associate Consultants

    and Clients

    i. Provide and liaise with clients for any company related documents

    required for vendor registration

    ii. Contracts and agreements are in place

    iii. Smooth project operations, coordinate between project teams

    c) Create database of vendors/suppliers and systematic way of working with each of

    them

    d) Assist in managing CEO's calendar, meeting requests and appointments

    e) Ensure overall office utilities are in order – cleanliness, replenishment of office

    utilities

    f) Prepare on-boarding of new employees

    g) Assist in other office administrative duties – create Zoom meetings, bookings of

    meeting room, etc.
