    Job Responsibility

    • Greet clients warmly upon arrival and assist with any initial inquiries, providing a welcoming atmosphere.
    • Manage appointment bookings, cancellations, and rescheduling requests via phone, email, and in-person, ensuring efficient and accurate scheduling.
    • Provide detailed information about PA services, treatments, and products offered, tailoring recommendations to client needs and preferences.
    • Handle payment transactions, process gift vouchers, and manage membership inquiries and sign-ups.
    • Address and resolve client complaints or issues promptly, ensuring customer satisfaction and maintaining the PAâs reputation for excellence.
    • Maintain a thorough knowledge of PA policies, services, and promotions, effectively communicating these to clients.
    • Collaborate with spa staff to ensure smooth operation and coordination of client services, sharing relevant client information as necessary.
    • Ensure the reception and waiting areas are always clean, organized, and inviting.
    • Collect and manage client feedback, contributing to service improvements and enhancements.

    Job Requirements

    • Multi-Lingual: Can read, write and converse in English, Bahasa Malaysia and Mandarin
    • Empathy and Compassion: The ability to understand and share the feelings of others is crucial. A Customer Service Officer should be able to empathize with clients, recognizing their needs and emotions, to provide supportive and considerate service.
    • Patience: Clients may have various inquiries, concerns, or complaints that need to be addressed calmly and efficiently. Patience is key in managing these situations without showing frustration or annoyance.
    • Communication Skills: Excellent verbal and written communication skills are vital. This includes the ability to listen actively, convey information clearly, and adapt communication style to suit the client's needs.
    • Problem-Solving Abilities: The role often requires quick thinking and innovative solutions to resolve client issues or complaints satisfactorily. A proactive approach to problem-solving is essential.
    • Attention to Detail: A keen eye for detail ensures that bookings are managed accurately, client preferences are noted and acted upon, and services are delivered to the highest standard.
    • Adaptability: The ability to handle unexpected situations, adapt to different clients' personalities, and manage varying workloads is crucial in a dynamic PA environment.
    • Professionalism: Maintaining a professional demeanor, respecting client confidentiality, and upholding the PA's standards and policies are all critical aspects of the role.
    • Teamwork: While the role is client-facing, working effectively with the rest of the PA team, including therapists and management, is essential for coordinated service delivery and creating a harmonious work environment.
